    Social Nomads is operated by 22STARS, a business registered in the Netherlands.

    This Privacy Policy explains how 22STARS collects, uses, stores and shares personal information when you visit the Social Nomads website, apply for or book an Impact Trip, submit a speaking enquiry, subscribe to updates, contact us or otherwise interact with our services.

    The 22STARS Foundation (Stichting 22STARS) is a separate nonprofit organisation and is not the operator of Social Nomads or the data controller for Social Nomads bookings and services.

    You can browse most areas of our website without providing personal information. We collect personal information when you choose to interact with us, for example by submitting an application, making a booking or enquiry, subscribing to updates or contacting us directly.

    1. Information we collect

    Depending on how you interact with us, we may collect:

    • Name and contact details, including email address and telephone number
    • Billing, booking and payment-related information
    • Impact Trip application and participant information
    • Emergency contact details
    • Dietary requirements, allergies and other information necessary to organise your experience
    • Passport or travel-related information where necessary for trip arrangements
    • Information you voluntarily provide during calls, forms or correspondence
    • Speaking enquiry and event information
    • Newsletter and communication preferences
    • Technical information generated when yo
    • u use our website, such as device, browser and website usage information, where applicable

    We only request information that is reasonably necessary for the relevant purpose.

    2. Health and other sensitive information

    For Impact Trips, we may need limited information about health conditions, allergies, dietary requirements, accessibility needs or other circumstances that could affect your safety or participation.

    Some of this information may constitute special category personal data under European data protection law.

    Where required, we will ask for your explicit consent to process this information. We use it only where necessary to prepare for and safely deliver the experience and only share it with relevant team members or service providers where necessary.

    Please do not provide sensitive personal information that is not relevant to your participation.

    • Organise accommodation, transport, activities and other Impact Trip arrangements
    • Communicate important information before, during and after an experience
    • Conduct participant intake and preparation
    • Respond to enquiries and speaking requests

    • Manage safety, emergency and logistical requirements
    • Improve our website, experiences and communications
    • Send newsletters or marketing communications where you have chosen to receive them
    • Meet legal, accounting, tax and regulatory obligations
    • Protect the safety, rights and legitimate interests of participants, team members and others

    We do not sell your personal information.

    Under applicable data protection law, we process personal information only where we have a lawful basis to do so.

    Depending on the circumstances, this may include:

    Contract

    Where processing is necessary to take steps at your request before entering into a contract or to provide an Impact Trip or other service you have booked.

    Where you have given us permission, for example for marketing communications or, where required, the processing of certain sensitive information.

    You may withdraw consent at any time. Withdrawal does not affect processing that lawfully took place before consent was withdrawn.

    Where we need to retain or process information to comply with accounting, tax or other legal requirements.

    Where reasonably necessary to operate and improve our services, manage enquiries, maintain security, prevent misuse and support effective administration, provided those interests do not override your fundamental rights and freedoms.

    We only share personal information where reasonably necessary.

    This may include trusted providers and partners involved in delivering our services, such as:

    • Accommodation providers
    • Transport providers
    • Activity and experience providers
    • Local coordinators and partners in Uganda
    • Payment providers
    • Website and hosting providers
    • Email and communication platforms
    • Accounting and professional service providers

    We share only the information reasonably necessary for the relevant purpose.

    Where appropriate, service providers process personal information under contractual obligations relating to privacy and security.

    We may also disclose information where required by law or where reasonably necessary to protect the safety, rights or property of 22STARS, our Participants or others.

    6. Information shared with partners in Uganda

    Impact Trips involve services and activities in Uganda. Certain participant information may therefore need to be shared with our local team and relevant providers in Uganda.

    For example, this could include your name, dietary requirements, logistical information or information necessary for your safety and participation.

    We limit such sharing to information reasonably necessary to organise and deliver the experience.

    Because Uganda is outside the European Economic Area, we take appropriate measures where required under applicable data protection law when transferring personal information internationally.

    7. International data transfers

    Some of the technology and service providers we use may process or store personal information outside the European Economic Area.

    Where personal information is transferred internationally, we use appropriate safeguards where required by law, which may include European Commission adequacy decisions, Standard Contractual Clauses or other recognised transfer mechanisms.

    8. How long we keep your information

    We retain personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet applicable legal, tax, accounting and contractual obligations.

    Different categories of information may therefore be retained for different periods.

    Booking and financial information may need to be retained for the period required under Dutch tax and accounting law.

    Sensitive participant information that is no longer necessary for safety, operational or legal purposes will be deleted or anonymised sooner where appropriate.

    We do not keep personal information indefinitely without a legitimate reason.

    9. Marketing communications

    We will only send marketing emails where we have an appropriate legal basis to do so.

    You can unsubscribe from marketing communications at any time by using the unsubscribe option in our emails or contacting us directly.

    Unsubscribing from marketing does not prevent us from sending necessary communications relating to an application, booking or service you have requested.

    10. Photography and video

    Photographs and videos may be taken during Impact Trips for documentation and communication purposes.

    Where images of Participants are intended for promotional use, we will handle this in accordance with applicable privacy law and any consent or preferences communicated to us.

    Participants can let us know if they do not wish to appear in promotional photographs or videos.

    Separate safeguarding and privacy principles apply when photographing or sharing images of children and community members in Uganda.

    11. Community privacy and safeguarding

    Our work involves close relationships with communities, children, families, entrepreneurs and local partners in Uganda.

    We are committed to protecting their dignity, privacy and personal information.

    Participants are expected to follow the photography, safeguarding and community-engagement guidance provided before and during an Impact Trip.

    Personal information about community members should not be collected, published or shared without appropriate permission.

    12. Cookies and website technology

    Our website and third-party services may use cookies or similar technologies necessary for website functionality, analytics or other purposes.

    Where required by applicable law, non-essential cookies will only be used after you have provided consent.

    More detailed information about the cookies and technologies used on the website should be provided through the website's cookie notice or consent settings where applicable.

    13. Data security

    We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
